Comparing Medical Gas Suppliers: What Evidence to Request
Start a medical gas supplier comparison by identifying the exact models offered for each item in the project. A supplier may present a broad catalogue, but the evaluation must focus on the specific products quoted. Request model-specific drawings and data sheets for every major item, including dimensions, materials, connections, and performance characteristics. These documents should match the revision and configuration in the offer. If a supplier cannot provide them, the offer is incomplete for comparison purposes.
A clear bill of materials (BOM) is essential. It should list each component, quantity, and unit, and distinguish between items included as standard and those offered as options or accessories. Ask whether the BOM reflects the exact revision being quoted. For each line, clarify what is included in the supply: for example, whether valves come with actuators, whether outlets include rough-in boxes, and whether alarm panels include sensors. This helps identify missing parts before an order is placed. The BOM should also identify any items that the buyer must supply separately, such as piping or electrical connections.
Where the project specification requires material traceability, inspection reports, or test certificates, ask the supplier to state when and how these will be provided. Do not accept general statements such as "certificates available upon request." Ask for a sample of the actual document format and confirm that it will reference the specific batch or serial numbers of the delivered goods. If a supplier cites a standard or certification, verify the scope and validity against the actual product and the destination requirements. The facility's qualified team should determine whether the submitted evidence meets the project specification.
Delivery, installation, and after-sales responsibilities often cause delays if not defined early. Ask each supplier to specify:
Packaging details and delivery terms (who is responsible for offloading, and where).
Whether installation support is included, and if so, what level of supervision or training is provided.
Availability of spare parts and consumables, including lead times.
After-sales contact arrangements, including warranty terms and response times.
These points should be recorded in the same evaluation sheet used for all bidders, so that deviations from the project specification are visible.
To compare suppliers fairly, use a single evaluation sheet for every bidder. Record each supplier's response to the same questions, and note any deviations or outstanding items. Do not award points for unsupported statements. Mark them as unverified until the supplier provides the necessary evidence. The sheet should include columns for the required document, the supplier's reference, and the date received. This approach keeps the comparison focused on documented facts.
If required model-specific documents, a detailed BOM, or project-specific traceability commitments are missing, request them before completing the evaluation. In that case, the buyer should either request the missing information in writing or exclude the offer from further consideration. The facility's qualified team should decide whether the submitted evidence is sufficient for the project. For initial research, our company information and product catalogue can support a preliminary review. However, always request the documents for the exact items in your RFQ before making a final comparison.
