Automatic Manifold Handover: Drawings, Alarms and Service Records
An automatic manifold handover package is the working reference the facility team uses after the installation team leaves. Its value depends on whether the drawings, alarm names and version identifiers match the equipment that is physically installed. This article covers the document set, the record responsibilities on site, and model and version traceability. Manifold selection and equipment layout are covered in separate articles.
A usable file starts with an index that names each document, its revision, and the person who accepted it. For a manifold system the index typically covers the as-installed connection drawing, the exact model and configuration identifier, operating instructions for the delivered configuration, the alarm point list, maintenance guidance, replaceable-part information, and the verification records the project specification requires. Ask the supplier which of these documents exist for the quoted model, and in which language and format they are issued. A document list is a quotation item; confirm it before the order is placed.
Inconsistent alarm point names make it harder to match equipment indications to facility records. The manifold label, the building management system point list and the facility's written response plan should use the same names. Ask the supplier to state the alarm point names used for the configured system and to confirm how those names are documented. The facility's qualified team then decides how each point maps to a response. Where a remote alarm connection is part of the scope, ask for the interface description in writing and confirm it appears on the as-installed drawing.
Handover records are completed by named people. Agree at the RFQ stage who signs the as-installed drawing, who accepts the alarm point list, who confirms the maintenance entries have been transferred into the facility's planned maintenance system, and who holds the master file. These are facility decisions; the supplier's role is to provide the documents and to state what it can supply for each item. Record the date of each acceptance so later revisions can be traced.
A model name alone does not establish the features of a delivered unit. Ask for the configuration identifier that appears on the unit, the drawing revision that corresponds to it, and the document revisions issued with it. When a replacement part is ordered later, the same identifier lets the facility confirm the part matches the installed configuration. Use the schedule below to collect this information during procurement; leave entries blank until the supplier confirms them.
| Item | Supplier confirmation required | Document revision | Accepted by / date |
|---|---|---|---|
| As-installed connection drawing | |||
| Model and configuration identifier | |||
| Operating instructions | |||
| Alarm point list | |||
| Maintenance and spare-part information | |||
| Verification records per specification |
Which documents are issued for the exact model and configuration quoted, and which are optional? How are document revisions tracked when a configuration changes? Can the alarm point names be provided as a list before delivery so the facility can align its response plan? What is the process if a function described in the offer is absent from the delivered configuration? Who is the post-handover technical contact, and through which channel are document requests handled? These questions belong in the RFQ so the answers form part of the comparison between offers.
Score each offer on the same dimensions: completeness of the indexed document set, specificity of alarm point naming, clarity of the model and configuration identifier, and the traceability of revision records. A package that lists documents without revisions or named acceptance is harder to maintain. The qualified project team sets the acceptance standard; this comparison supports that review and does not replace it.
