A pressure regulator’s suitability depends on where it sits in the medical gas system: at the source, in the distribution network, or at the point of use. The same word covers different devices with different interface requirements. This article focuses on the questions that procurement and project engineers should ask about source and outlet interfaces. It does not cover bedside flowmeters or vacuum regulators, which serve separate point-of-use roles.

Start with the system diagram

Before requesting quotations, mark the proposed regulator on a source or distribution diagram. Record the gas service (oxygen, medical air, nitrogen, etc.), the upstream supply (cylinders, manifolds, plant, or pipeline), and the downstream connection (pipeline, hose, or equipment). Identify the intended operating conditions and the parties responsible for installation and verification. The designer should set the required performance and applicable standard for that location. Without this information, a quotation cannot be compared on a like-for-like basis.

Interface questions for the RFQ

When you issue an RFQ, ask for the exact model drawing, data sheet, and maintenance instructions. Compare quotations on the same duty. Specifically:

• Gas service: Is the regulator intended for the specific gas, and are materials compatible?

• Inlet connection: What is the connection type, size, and thread standard? Does it match the upstream source?

• Outlet connection: What is the connection type, size, and thread standard? Does it match the downstream equipment?

• Operating conditions: What are the rated inlet pressure, outlet pressure range, and flow capacity? Are these suitable for the intended duty?

• Accessories: Are gauges, isolation valves, relief devices, and connectors included? If not, who supplies them?

• Assembly boundary: If the regulator is part of an assembly, where does the assembly end and site work begin?

• Documentation: What documents are provided? At minimum, request the model-specific drawing, data sheet, and maintenance instructions.

Do not transfer specifications from one regulator type to another based on appearance. A regulator for a cylinder manifold is not the same as one for a pipeline outlet.

Source-side versus outlet-side considerations

Source-side regulators often handle higher pressures and may be part of a manifold or plant assembly. Outlet-side regulators may be closer to the point of use and could be integrated with other equipment. The interface questions remain similar, but the responsible parties and the applicable standards may differ. The facility team and the designer should confirm which standard applies at each location. Procurement should not assume that a regulator approved for one part of the system is acceptable elsewhere.

What to verify before purchase

Before placing an order, verify the following with the qualified facility team and the exact model documents:

• The regulator is marked on the system diagram and its duty is defined.

• The inlet and outlet connections match the adjacent equipment.

• The materials are compatible with the gas service.

• The performance ratings meet the designer's requirements.

• The documentation includes the model drawing, data sheet, and maintenance instructions.

• The assembly boundary and site work responsibilities are clear.

Confirm these items with the facility team before accepting the quotation.
